Position Description:
This is a dynamic position for an energetic Executive Assistant to support our fast paced environment. You will be supporting Community and State within Ridgeland, MS office.
Performs high level administrative support to the Chief Executive Officer (CEO)
Primary
Responsibilities:
Develop positive relationship with Management team and staff.
Compile and compose routine and non-routine documents including, but not limited to: correspondence, policies, presentations, procedures, reports, work instructions, minutes and logs.
Maintains CEO's calendar and schedule.
Maintains internal CEO management meetings, prepares agenda, action items and compose minutes of the meetings.
Assist with budgets.
Assist with logistics and communications between corporate visitors and outside vendors regarding the following:
Manage meeting logistics: schedule and prepare conference rooms for meetings, and plan and/or procure refreshments and meals as needed.
Assist with executive staff meeting agenda, action items and minutes.
Maintain record of meetings, including the archiving and storage of past meeting minutes and documents.
Arrange travel and lodging for the executive team
Research and provide archived documents to staff and approved external contacts as needed.
Assist office staff as needed.
Perform administrative duties such as: answering phones and directing all incoming calls to appropriate party promptly and efficiently; filing, photocopying, scanning, and faxing; processing incoming/outgoing mail; making travel arrangements; processing expense reports; greeting visitors; arranging conference calls and scheduling meetings.
Process and coordinate vendor invoices and check requests: coding and preparing for approval and processing.
Maintain confidential information and uses judgment as to the sensitivity of information.
Note commitments made by executives during meetings and arranges for staff implementation.
Read outgoing correspondence for executive approval and alerts writers to any conflicts or departure from policies or executive's viewpoints.
Review and summarize miscellaneous reports and documents, prepare overview for executive briefing.
In CEO's absence, ensures that requests for action or information are relayed to the appropriate staff member.
Reconciles departmental expense reports and credit card statements/receipts following established guidelines.
Coordinate collection and preparation of operating reports, such as budget expenditures, and statistical records of performance data.
Assist with special projects and performs other duties as assigned.
Capabilities:
Able to work autonomously with minimal direction.
Excellent verbal and written communication skills with professional demeanor
Ability to manage multiple tasks/projects and deadlines simultaneously with attention to detail
Must be able to work in a large, matrix corporate environment
Must have excellent verbal and written communication and grammatical skills
Must have a polished demeanor and be comfortable working worth people at all levels
Requirements
Required
Qualifications:
HS diploma/GED is required
3
years of current senior level administrative experience working within a fast paced matrix organization
Microsoft Office Suites: Current proficiency with Outlook for calendar scheduling and emails, Word for documentation, PowerPoint to help create decks from start to finish and Microsoft Excel skills to manipulate data and create pivot tables.
Experience multi-tasking competing priorities in a fast paced business environment
Experience in a customer focused role demonstrating professional communication both written and verbal
Must be able to lift up to 25 lbs

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
